  • Deliver Remote Simultaneous Interpreting (RSI) for the daily press conferences from 18 to 23 December.

SOLUTION

Langpros deployed a hybrid interpreting model tailored to each phase of the event, perfectly reflecting our core brand values of flexibility and adaptability:

  • On-Site Simultaneous Interpreting: We deployed a total of 5 booths for the first day (17 December). The Opening Session covered English to/from Arabic, Russian, and Azerbaijani (utilizing 1 dedicated interpreter). The subsequent Summit covered English to/from Arabic and Russian.
  • Remote Simultaneous Interpreting (RSI): We utilized an RSI platform for the press conferences (18–23 December) in Arabic, Chinese, Spanish, and French, accessible through the RSI platform app and web widget with no extra hardware for attendees. Note: The RSI platform was intentionally not used on the first day.
  • Hardware & Streaming: We deployed a Bosch Infrared System for crystal-clear, interference-free on-site audio during the Opening and Summit. RSI platform audio was delivered via wired output to the AV team for live YouTube streaming and broadcast.
  • Expert Team: A mobilised team of 8 interpreters, 4 AV technicians, and 2 project managers, backed by dedicated on-site support.

CHALLENGES

  • Last-Minute Azerbaijani Interpreter: With the President of Azerbaijan attending the ceremony, an on-site Azerbaijani interpreter had to be secured at the very last second. Langpros sourced and mobilised a qualified Azeri interpreter on-site in time for the event.
  • Complex Radiator Placement: The IR radiators had to be placed on the ceiling trusses. Because the AV and lighting team had already completed their truss work by the time our team arrived, the radiator placement and securement became a particularly challenging logistical hurdle that our technicians successfully navigated.
  • Smart Smartphone-Based Audio Distribution: To offer a lean, technology-smart listening experience, interpretation audio was streamed directly to attendees’ own smartphones through the RSI platform app and web widget. Disposable earphones were procured so every delegate could tune in instantly, with no traditional receivers required.
  • Custom Engineering On-Site: The client required a four-output splitter box to serve four languages, which was unavailable in the local market. Our technician custom-built a solution on the spot to meet the specification.
  • Non-Standard Equipment Handling: Headsets were distributed in gift-style bags at the Opening, risking loss. We deployed stagehands and stationed personnel at every exit to secure their return.
  • Last-Minute Agendas and Venue Layout: Opening agendas were not issued in advance and receiver placement had to be adapted to the hall layout, both managed through rapid on-the-spot planning.

RESULTS

Langpros delivered a flawless multilingual experience across the ceremonies and six days of press conferences, serving an audience of 800+ at the Opening and international media throughout the week. Sessions were attended by high-profile dignitaries, including the UAE President His Highness Sheikh Mohamed bin Zayed Al Nahyan and the President of the Republic of Azerbaijan, His Excellency Ilham Aliyev. The client commended the team for a job well done, confirming Langpros’ ability to combine human interpreting, RSI technology, and seamless event technology integration at one of the region’s most forward-looking events.
